Connecting Rentlio
Step by step: the API key, turning Kleenee on in Rentlio, the address for changes, and what Kleenee and Rentlio exchange.
Who it is for: Owners and managersWhen you connect a property to Rentlio, rooms, stays and cleaning status come from Rentlio, and Kleenee turns them into cleanings. Rentlio doesn’t take room status from any outside system, so the only thing Kleenee sends to Rentlio is a guest’s check-out from the front desk. For PMS connections in general, see Connecting a PMS.
What is exchanged
| From Rentlio to Kleenee | From Kleenee to Rentlio |
|---|---|
| Rooms: name, room type and capacity | Guest check-out from the front desk (if you turn it on) |
| Stays: dates, cancellations, guest counts | |
| Guest check-in and check-out | |
| Cleaning status the front desk changes in Rentlio | |
| Room blocks (out of order, out of inventory) | |
| Services booked with a stay: pet, extra bed, cot |
Guest names, contacts and other guest details are never fetched.
Before you start
- In Rentlio you need a user who can create API keys and change integration settings.
- You need the property ID in Rentlio, a number such as 95.
- In Kleenee, a manager or owner makes the connection on the Integrations page.
1. Prepare Rentlio
- In Rentlio open Settings, then Integrations, find Kleenee and turn it on for the property or for all your properties. Without this the connection works, but cleaning status and room blocks don’t come in.
- In the developers section, create a new API key just for Kleenee. That way you can switch it off later while other connections keep working.
2. Connect the property in Kleenee
- Open Integrations and find the property.
- For System choose Rentlio.
- Enter the Property code in the PMS and the API key.
- Press Save.
Kleenee first checks that the key really belongs to that property, so nobody can connect someone else’s hotel just by typing its ID. If the property already has rooms in Kleenee, Kleenee asks you to confirm: all existing rooms are replaced with the rooms from Rentlio. Old rooms stay in the history, and their unfinished tasks are cancelled.
3. The address for changes
After the first save Kleenee shows an address. Enter it in Rentlio, in the developer settings, as a new webhook, and leave the token field empty. Reservation changes from Rentlio then arrive at once; without it they arrive every few minutes.
The address is shown only once. If you don’t have it, go to Integrations, open Address for the Rentlio webhook, press Make a new address and enter the new one in Rentlio. The old one then stops working.
How it works day to day
- Cleanings follow stays. Every stay from Rentlio gets a cleaning after departure, just as with calendars.
- Check-out in Rentlio. When the front desk checks a guest out, the room becomes Dirty in Kleenee and its cleaning is due now.
- Check-in in Rentlio. The room shows as occupied instead of as an arrival.
- Cleaning status from Rentlio. When the front desk changes a room’s status in Rentlio, it changes in Kleenee too: Clean becomes Clean, Dirty Dirty, and For inspection Awaiting inspection. Cleaning and DND don’t change the room. Kleenee follows only changes, so a room the staff cleaned in Kleenee stays Clean even though Rentlio still says Dirty. The same goes for the change Rentlio makes by itself at night for occupied rooms.
- Blocks from Rentlio. When a room is blocked in Rentlio (Out of order or Out of inventory), it becomes Out of order in Kleenee, and when the block ends it comes back as Dirty. Out of service isn’t followed, because the room stays on sale. If you put the room back in service in Kleenee while the block in Rentlio lasts, it stays in service.
- Services booked with a stay. For guests arriving today or tomorrow, Kleenee reads the services from Rentlio. Choose what each service means on the Integrations page, under Services from the PMS, just as with Apaleo.
- Change history. What came from Rentlio shows in the history as PMS (sync).
What Rentlio doesn’t take
Rentlio doesn’t take room status, blocks, arrival and departure times, extensions or room moves. So:
- When the staff clean a room in Kleenee, the front desk marks it clean in Rentlio itself.
- A room Out of order in Kleenee isn’t blocked in Rentlio; block it in Rentlio as well.
- Late check-out, early arrival, extensions and room moves stay in Kleenee, and the front desk changes them in Rentlio by hand.
Under Front desk in the PMS only Guest checked out can be turned on: when the front desk records in Kleenee that a guest left, the guest is checked out in Rentlio too. Kleenee doesn’t change the departure day in Rentlio, so a guest who leaves early keeps the old departure day there.
When something doesn’t work
The error shows next to the connection on the Integrations page.
| Message | What it means | What to do |
|---|---|---|
Rentlio property id missing | The property ID is missing or isn’t a number | Enter the property ID from Rentlio |
HTTP 403: Invalid authentication credentials | The API key is wrong or switched off | Create a new key in Rentlio and enter it |
the PMS lists no rooms for this property | Rentlio returned no rooms | Check the property ID |
the guest is not checked in in Rentlio | The guest isn’t checked in in Rentlio, so they can’t be checked out either | Check them in and out in Rentlio |
If saving says Kleenee isn’t turned on in Rentlio yet, the connection works, but cleaning status and blocks don’t come in. Turn Kleenee on in Rentlio (the first step above); the next sync brings them by itself.
