Issues and work orders

Every issue report becomes a work order at once. How the statuses work and when an issue is resolved.

Who it is for: Owners and managers

Anyone in the team reports issues (Reporting an issue). Managers follow them on the Issues page, split into Open and in progress and Recently resolved.

From report to repair

  1. The report gets a work order at once: a Maintenance task with the issue’s description. An urgent one is due now, others in two hours.
  2. If there is exactly one person with the Maintenance role in the team, the work order goes to them; otherwise assign it on the task page or in the plan.
  3. When the repair is handed in, the issue is Resolved and the room goes to cleaning (After a repair).

Issue statuses

StatusWhen
OpenThe issue has no active work order.
In progressA work order exists and isn’t finished.
ResolvedThe work order was handed in or approved, or you marked the issue resolved by hand.

The issue follows its work order:

  • The work order is cancelled: the issue goes back to Open, without a work order.
  • The work order is sent back or reopened: the issue is In progress again.

By hand

  • Send to maintenance: a new work order with the due time and assignee you choose. Only when the issue has no active work order.
  • Mark as resolved: the issue is resolved without a work order, for example when the problem went away by itself. A work order that hasn’t started is cancelled.
  • Reopen: a resolved issue goes back to the open list.
