Task statuses

The six task statuses, who changes them and what happens to the room when a status changes.

Who it is for: Everyone

Every task is in one of six statuses:

StatusMeaning
WaitingThe task is waiting for someone to start it.
In progressThe assignee pressed Start.
DoneThe assignee handed the task in; it is waiting for a manager’s check.
ApprovedA manager approved the work. This is the end; an approved task doesn’t change any more.
Sent backA manager sent the work back, with a note on what to fix.
CancelledThe task was cancelled. A manager can reopen it.

Who may do what

ChangeWho
Waiting → In progressThe assignee or a manager
In progress → DoneThe assignee (once every item is ticked and photos are added) or a manager
Done → Approved or Sent backA manager, or a custom role allowed to inspect (not their own work)
Sent back → In progressThe assignee or a manager
Any unfinished → CancelledA manager
Cancelled → WaitingA manager (Reopen)
In progress → WaitingKleenee, the first time a housekeeper marks “Do not disturb”

Staff change only their own tasks, and only their status. Due time, room, priority and assignee are changed by a manager.

What happens to the room

Cleaning statuses move the room status:

  • In progress → the room is Being cleaned
  • Done → the room is Awaiting inspection or Clean, depending on whether the property inspects rooms
  • Approved → the room is Verified
  • Sent back → the room is Dirty
  • a started cleaning put back to Waiting or Cancelled → the room is Dirty

What else happens at hand-in

When a task is handed in (Done), Kleenee records the pay amount if you have set prices, takes supplies off the stock and, for a work order, marks the issue resolved. When a task is sent back, the pay amount is cleared until it is handed in again.
